Nextcloud on TurnKey 19: accounts for occasional volunteers?

I’m looking at the TurnKey 19 Nextcloud appliance for a small repair cafe. At the moment our instructions and event photos are spread between chat messages and a shared folder. Someone always has an older copy of the rota.

Most volunteers would only need to read a few files or upload photos after an event. A few of us would organise things. I’m unsure whether to give everyone an account or use shared links for people who only help occasionally.

If you’re using Nextcloud with a club or volunteer group, what has worked for you? I can look after the server, but I don’t want people needing my help every time they want to send a photo.

Hi Matthias. I’d give the regular organisers their own accounts, so they can manage the shared folders and you can remove someone’s access individually when they leave.

For occasional volunteers, a read-only link can be enough for things like instructions. Nextcloud also has File drop: someone with the link can upload photos without an account, and they can’t browse the other files in that folder. That sounds useful for your events.

Use accounts for files that should only be available to named members. Shared links can be forwarded, even when you intended them for a particular person.

Before moving everything, try sending an instructions link and a photo-upload link to two volunteers on their phones. See where they get stuck. You can then decide who actually needs an account.
